How Engagedu collects, uses and protects personal information when you use this website or get in touch with us.

Who we are
This website is run by Engagedu C.I.C., a community interest company registered in England and Wales (company number 09557564). Our registered office is West Midlands House, Gipsy Lane, Willenhall, WV13 2HA.
Engagedu is the “controller” of the personal information described in this notice. If you have any questions about it, or want to use any of your rights, email info@engagedu.co.uk with “Data protection” in the subject line.
What we collect and why

To prevent spam, the contact form keeps a one-way scrambled version (a “hash”) of your IP address for up to 24 hours. It can’t be turned back into your IP address.
We don’t sell personal information, use it for advertising, or use it to make automated decisions about you.
TechStars Awards entries
Entries are uploaded by teachers, never by pupils. Entries are kept private and are only seen by the Engagedu team judging the competition.
If an entry wins or is a runner-up, we show the work in our online winners’ gallery with the pupil’s first name only, as the school agrees when it enters. We never publish surnames. If you want a pupil’s work removed from the gallery, email info@engagedu.co.uk and we’ll take it down.
Surveys
The Equilibrium parent and pupil surveys are run through SurveyMonkey on behalf of participating schools. They are designed to be anonymous: they don’t ask for names or contact details, and individual young people cannot be identified. Your school can tell you more about how survey results are used in school.
Children
This website is aimed at schools, staff and parents. We don’t collect personal information directly from children. The only information about pupils we receive through the website is TechStars entries submitted by their teachers (see above).
Who we share it with
We use a small number of trusted service providers to run the website and our business. They act on our instructions and must keep your information secure.
- Cloudflare hosts this website, protects it from attacks and provides secure sign-in for our staff.
- Resend delivers messages sent through our contact form to our inbox.
- Google Workspace provides our email.
- Microsoft hosts our newsletters, which are shown on this site through Microsoft Sway.
- SurveyMonkey hosts the Equilibrium surveys we link to.
We may also share information if the law requires it, or to protect a child from harm, in line with our safeguarding duties.
International transfers
Some of these providers may process information outside the UK, including in the United States. When that happens, we rely on the protections UK law requires, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Addendum.
How long we keep it
- Enquiries: up to 2 years after our last contact with you, unless they become an order.
- Event registrations: up to 12 months after the event.
- TechStars entries: deleted 12 months after the competition closes. Winning work stays in the gallery until the school or parent asks us to remove it.
- Order and invoice records: 6 years from the end of the financial year they relate to, as HMRC requires.
- Contact form spam-protection hashes: 24 hours.
Cookies
This website doesn’t use advertising or tracking cookies, so you won’t see a cookie banner.
- Cloudflare may set strictly necessary security cookies that help protect the site from automated attacks.
- Staff who sign in to our website admin area receive a strictly necessary sign-in cookie.
- Some news posts include YouTube videos (shown in YouTube’s privacy-enhanced mode) or Microsoft Sway newsletters. These services may set their own cookies when you play or interact with them.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to limit how we use it, or object to us using it;
- ask us to transfer it to another organisation, where that applies.
To use any of these rights, email info@engagedu.co.uk. We’ll reply within one month.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
We’ll update this notice when how we use personal information changes. The date at the top shows when it was last updated.
